Volunteer Activities Overview

Treasurer Manages expenses and reimbursements pertaining to expenses incurred during planning and execution of event.
5:30 am to 4:00 pm  
Event Insurance Coordinator   Coordinate with club insurer all aspects of registering club volunteers to remain within compliance requirements.
Assistant Event Director Assist with volunteer recruiting and planning of Volunteer Appreciation Luncheon. Assist with other responsibilities as needed.
Permit Coordinator Arrange ride routing permits.
Bike Shops  
Bike Shop Coordinator Recruit bike shops to support riders at rest stops and/or venue.

Equipment Manager Ensure equipment for rest stops and venue are in working order and available for day of event. Return equipment to working order post event.
Event Photographer Prefer 2-day commitment ~ day prior to event. Any and all serious paparazzi encouraged to apply.
Food Coordinator - Post ride

Bids and arranges for post-ride lunch. Coordinates pre- ride breakfast service.

Coordinates food purchasing and distribution of same for rest stops.

Responsible for collection of wrist bands from riders and volunteers for lunch head count and final settlement of bill from vendor.

Goodie Bag Assembling Party Pre-assemble registered rider “goodie” bags three days before event. Assembly line fashion ~ work and fun combined.
Marketing & Promotions Coordinator Coordinate all aspects of traditional and social marketing of ESWR.
Parking Monitor Coordinator Coordinate parking monitors day of ride

Registration Coordinator Oversees all aspects of pre-ride and on-site registration. Reconciles on site registrations and sales and inputs registrations to ClubExpress. Performed by Membership Director. Works w/Ride Director to develop routes, develop and distribute route cue sheets and maps. Ensure GPS & other electronic maps are posted and accessible for cyclists.

Rest Stop Food Coordinator Calculates rest stop and venue food/water/ice needs and distribution based upon registration numbers and orders food/water/ice from supplier.
Rest stop kit crew The care and feeding of equipment for the rest stops. Makes sure individual storage bins and water jugs are cleaned and properly stocked pre-ride and are cleaned and ready for return to NFBC storage locker post-ride.
Rest Stop Lead Coordinator Co-ordinate training, staffing and managing Rest Stops.
Rest Stop Volunteer Coordinator  
Ride Marshalls  
Ride Communication Coordinator During the Day of Ride, coordinate communications between the volunteers on the route (Route monitors, SERFS, SAGS, HAMS, Rest Stop) and the volunteers at the Venue (primarily Venue Coordinator and Ride Directors). Proximity to the Ham operating unit at the Venue is important.
Ride Marshall/Route Sweep Coordinator  
Ride Marshals Monitor ride routes on bike to help maintain safety of bike riders.
Route monitors To be stationed at critical points to keep riders on route or to warn of any potential hazardous road conditions.
Route Sweeps Must be experienced rider who follows rules of the road. Sweep must have ability to ride distance but be willing to ride anchor slot on assigned route.
Route permitting Work with local authorities to obtain needed ride/route permits.

Safety Coordinator (AKA SAG 1)

Recruit SAGS.  Coordinates SAGS, SERF’S and HAMS. Assist in recruiting Ride Marshals for ride bicycle sweeps (new from 2015). 

Work with Route Coordinator to ensure proper and effective signage at all points.

Per insurance coverage must be less than 71 years of age.

SAG Drivers


Meet to sort out signs then drive route Saturday to plant signs.

Need 3 drivers and 3 "planters."

Drive route pre-ride Sunday morning to assure signs still in place. Then ride route with HAM operator through day.

Need to be able to transport at least two bikes and two riders to rest stop or Rec Center.

Club will reimburse set amount for gas.

Sales/Merchandise @ Venue Distribute sold jerseys. Assist with sales of other NFBC merchandise.
Tee-shirt coordinator Responsible for securing tee shirt vendor, ordering, receiving and the organization and distribution of Ride/Volunteer tee shirts at venue.
Truck Drivers  
Truck Driver Assistant for 20' truck Assist Driver of 20' truck with duties listed below/ schedule flexibility appreciated
Truck/Van Driver Load and distribute rest stop equipment/water and ice, May preposition equipment and rest stop food on Saturday. Pick up equipment after ride and return equipment back to venue.
Truck driver for 20'Truck Pick-up rental truck and drive to Club storage locker on Friday to pick-up rest stop equipment and deliver to Rec Center. Food/water pick-up on Friday afternoon or early Saturday and delivered to Rec Center. Deliver water/ice to rest stops on Sunday and pick-up equipment from rest stops and return equipment to Rec Center for cleaning and then to storage locker on Sunday or Monday. May not be needed Saturday/scheduling flexibility appreciated.
Truck/Van Driver Assistant Help driver of 20' truck with deliveries and pickups on Saturday/Sunday.  
Truck Helpers Help drivers of 16" & 14’ trucks with deliveries and pickups on Sunday.
Truck Loading Assistants-Friday at locker  
Truck Unloading Assistants-Sunday evening at Locker  
Clean up crew Returns the Rec Center to tip-top shape after the event.
4:00 pm to 6:00 pm  
Venue Assistant Cover various tasks supporting the ride on the route and at the venue.
Venue coordinator Responsible for planning and executing activities at and near the start/finish location, including the auditorium, parking lots and grounds nearby. Oversees set up activities at the Rec Center Saturday and Sunday. Insures that all rest stop equipment, supplies and food/water set out for pickup by rest stop captains on Saturday, set-up of pre-ride breakfast on Sunday morning, set-up of post-ride lunch and clean-up after ride.
Venue crew - Saturday Saturday Set-up Rec Center, lay out equipment/supplies and food/water for rest stop captains' pick-up. May work various shifts.
Venue crew - Sunday Set-up breakfast, miscellaneous duties during day and clean-up Rec Center post ride. May work various shifts. Assist with clean up of venue.
5:30 am to 4:00 pm  
Starting Gate Rope Handlers/Monitors Will handle ropes for rider "corrals" to manage beginning and subsequent "waves" of riders beginning their rides.
Volunteer Coordinator Recruit and manage volunteers and the volunteer module.

Volunteer Luncheon Coordinator Identify and reserve luncheon. Coordinate with Volunteer Coordinator Volunteer luncheon details.
