NOTE TO VOLUNTEERS

Thank you for your interest in volunteering for the Bum Run. We couldn't have this race without dedicated people like you!

All volunteers will receive an official Bum Run volunteer t-shirt, refreshment & snacks and any equipment necessary to do the assigned task. If you are a student collecting hours for school, please bring your documentation to the race-site and the coordinator will sign-off on it at the end of the event.

All communications about your volunteer role will be through email, so please check regularly. 

Although we aim to honour your choice in volunteer position, we may have to assign you another role to ensure the race runs smoothly.


Bike Marshal

These people should feel confident on a bike. We are aiming for at least two cyclists with the lead pack and one at the end to ensure participants know where to go.

Baggage Check

Baggage check volunteers check the baggage of the participants and distribute them after the race.

Specific Instructions (7 a.m. – 9:30 a.m.):

Set up using equipment below at baggage check sign. There will be a tarp, where you can place the bags. When you take people’s bags, make sure to mark their bib # on masking tape and affix to their bags. Place them in numerical order so that you can find them afterwards. Make sure you have a marker and paper and pins. If it is raining, use 2nd tarp to cover bags.

Hand out the remaining race-kits to people that didn’t make it to the official pick-up times. Cross their names off the master list.

Equipment Provided by Bum Run: 

2 tarps, thick pen, masking tape, safety pins, 1-2 table and chairs

Water Station at 2.5km

These volunteers hand out water and Gatorade to the participants at the half-way mark.

Specific Instructions (7:15 a.m. - 9:15 a.m.):

Located on the south side of Bloor, just East of Spadina, these volunteers are responsible for setting up the water station, handing out the water and Gatorade to participants and cleaning up at the end of the race.

Fill cups ½ way with water and/or Gatorade; Line up cups on table so that water goes first and Gatorade second. Hold cups with tips of fingers and hand out to runners. Yell out “water” or “Gatorade” to the passing runners. Stand on ONE side of the road only and keep to the sidewalk. Most fast runners won’t stop for water/Gatorade.

Clean-up used cups and put in garbage bag. Crush cups with feet, so that you can fit more in the bags. 

The truck will arrive when you are done (~ 9:00 a.m.) to pick up all of the equipment and garbage. Please do not leave until the truck has arrived and all of the equipment and tables are off the street.

Equipment Provided by Bum Run:

2 tables, cups for water and cups for Gatorade (they will be different), garbage bags, gloves (to pick-up used cups), Stir-sticks- to mix the Gatorade, 2 Milk jugs- use these to scoop out water/Gatorade and pour into cups 

Large Coolers- A few for water and a few for Gatorade

Sidewalk chalk- to write inspiring messages on the road (e.g. Kick Butt, Looking Good,  You rock!), Bristol Board and markers- to write inspiring messages and use for cheering

Water Station at Finish

These volunteers hand out water and Gatorade at the end of the race.

Specific Instructions (7:15 a.m. - 10:30 a.m.):

Set up station using equipment supplied by Bum Run (see below). Fill cups ¾ way with water and/or Gatorade, and line up on tables. Place water first, then Gatorade. Runners/ walkers can take the drinks off the table themselves. Place a few garbage cans nearby. Clean up used cups with gloves and put in garbage can. When garbage is full, tie up and put to side. Replace with new bags.

Please ensure that ALL garbage is put in the garbage bins. You may want to walk around the grass in front of the table and place any garbage in the bins. This will ensure a fast clean-up at the end of the event.

Coolers for water, Coolers for Gatorade

2 Tables, Cups for water and Cups for Gatorade (they should be different), Garbage cans, Gloves (to pick up used cups), Stir-sticks- to mix the Gatorade

4 Milk jugs- use these to scoop out water/Gatorade and pour into cups

Food Station

These volunteers hand out food to participants after the race.

Specific Instructions (7:15 a.m. - 10:30 a.m.):

Ensure food is ready to hand out to participants after the race. Set up garbage cans nearby. 

Clean up used any refuse and place in garbage can. When garbage is full, tie up and put to side. Replace with new bags.

Medal Distribution

These volunteers are responsible for giving all participants who cross the finish line a medal.

Specific Instructions (7:15 a.m. - 9:30 a.m.):

Ensure you have all of the boxes of medals at the finishing chute. Unwrap the medals from their wrapping. Make sure this is complete before 8:25 a.m.

When participants finish the race, direct them to the end of the chute, which will be by the road (Queen’s Park Crescent). It is very important for them not to  congregate in the chute, as this may cause a back log. Congratulate all finishers and put medals around their necks. For the runners, let them walk a bit before you put the medal on them, because they will be out of breath and need to cool down. Usher all finishers to the water tables on the grass.

Cheering Squad

Cheer Squads will be located at key intersections and will be responsible for cheering-on the participants from 7:30 a.m. to 9:00 a.m.

Green Crew

There are light and heavy green crew volunteers. 

Heavy Green Crew (5 a.m. - 8 a.m.): These volunteers unload the truck with equipment such as tables, chairs, boxes and tents, and place them at designated certain spots on Queen's Park. At the end of the race, these volunteers will put the equipment back in the truck.

Light Green Crew (7 a.m. - 10:30 a.m.): These volunteers are responsible for beautifying Queen's Park after the race by picking up any garbage left on the grounds and putting it in garbage bins.

Race-Kit Pick-Up

This job is the Friday and Saturday before the race. These people distribute the race kits to participants. Race-kit pick-up on Friday is from 12 p.m. to 7 p.m. and on Saturday from 10 a.m. to 5 p.m.

Course Marshals

Marshals instruct cars away from the course and answer any questions from pedestrians. This position also acts as a 'cheerleader', inspiring participants.

Specific instructions (7:15 a.m. - ~ 9:15 a.m.):

Ensure runners/ walkers go the correct way and stay within the cones.  You can also write inspiriting messages on pieces of Bristol Board, provided by the Bum Run, to cheer-on the participants.

  • The route should be kept completely clear from 10 minutes before race start.
  • Runners can NEVER be made to wait.  If needed, walkers can wait, but preferably cars should be directed through ONLY when there are sufficient breaks between participants.
  • You can leave your station once you see that the barricades and pylons have been collected.

Crossing-guard vests, map of course, cheer signs/ Bristol Board and markers

Race- Kit Packing

Occurring on the Thursday evening before the race at the race-kit pick up location, usually from 5 p.m. to 9 p.m., these volunteers help pack the kits for race-kit pick up the following days.
