Refreshment Station Volunteer Guide
First and foremost, we would like to THANK YOU for volunteering for the GMS Queen City Marathon. Your time, energy and dedication are what help make this event a success. We are very happy you have chosen to volunteer and we want you to have a great time while helping out the participants!
Below are some tips and information to help you be comfortable, have fun and enjoy the experience.
IF YOU HAVE ANY QUESTIONS ABOUT YOUR VOLUNTEER DUTIES PLEASE ASK YOUR TEAM CAPTAIN OR ONE OF THE RACE VOLUNTEERS OUT ON THE COURSE.
WHAT TO WEAR? - Race goes on rain or shine so please dress appropriately.
The weather and temperatures can change drastically so please be prepared. Dressing in layers and wearing comfortable shoes are some good tips to remember when preparing for race day. We want you to be comfortable!
WHAT TO BRING? - As little as possible.
Try to bring what you need in a backpack that you can keep with you. A hat, sunscreen, and bug spray are highly recommended. The Queen City Marathon will supply all supplies necessary to operate the station.
START OF SHIFT - Know your assigned TIME and LOCATION in advance.
Go directly to your assigned station location. Keep in mind there are road closures due to the race, so plan adequate time to arrive at your location.
END OF SHIFT
It is important that volunteers remain in their position until notified by the sweep cyclist or Course Manager.
SNACKS
It is a good idea to bring snacks and/or drinks to keep you going through the day.
TRANSPORTATION AND PARKING
Parking may be limited in the vicinity of your volunteer location so we encourage you to be dropped off, carpool or walk to your assigned location, if possible. If you do park, please ensure you are parked legally and obey all traffic signs.

EQUIPMENT DELIVERY & PICK UP - Your Team Captain will deliver all equipment to you out on course. At the completion of the race please pack up all equipment and remaining supplies. Your Team Captain will return equipment and supplies to the race site at the end of the race. Do not leave any equipment unattended. Race Officials will pick up tables and full garbage bags.
SET-UP: TABLES - The Water Station should be set up according to the diagram below with products grouped together. Some stations may only receive 2 tables, one for water and one for Gatorade. If you have 4 tables please set up first 2 for water and second 2 for Gatorade.

DRINK & FOOD SERVING - Use plastic gloves when working with food products, water and garbage. It is very important volunteers stand at either end and not in front of the tables so they do not block the runners. Volunteers lined up at the beginning and end of the station makes the station longer with more fluids readily available. Cups should be only HALF full. If cups are too full, runners may spill them, leading to a shortage of water. Runners may be more comfortable picking up their own fluids from the table. Please have ample cups full on each table.
ELECTROLYTE INSTRUCTIONS - The electrolyte (Gatorade) will come in canisters. Two canisters of powder require a 18L container of water. Use the white plastic pails for mixing; these will have been cleaned prior to race day.
- Pour the electrolyte powder into the pail FIRST
- Fill HALF of container with water and mix until the powder is completely dissolved.
- Add the remaining water to fill the container
- Pour the contents of the pail into the large garbage pail/
GEL INSTRUCTIONS - Gels have been distributed to runners as part of their race kit. There are no gels on course.
CLEAN UP - Pick up discarded clothing, cups, wrappers or other race garbage along the course and leave for race officials to pick up. Please try to leave the space cleaner then you found it.
EMERGENCY MEDICAL SITUATION - (Runner or Volunteer Injury) Stay calm, remain with the injured person and have someone notify the Course Cyclists immediately. If you are certified in First Aid or CPR, proceed according to your level of training. If the injury requires immediate medical attention please also call 911.
