Volunteer details
Pre Race Package Pickup
Package pickup will be at the Curling club friday afternoon October 10th.
This is where the athletes show up to pick up their package to avoid the crowd on race morning.
Tables need to be set up.
Bib # boxes for each distance set out
Tshirt boxes out out in order of size extra small to extra large
Participant lists put out. Each participants gets a bib# and a t-shirt souvenier
Deal with athletes who want to grade up or grade down in distance
Race Site Setup
The race site needs to be set up on race morning starting at 6 am

Race morning registration set up in the gazebo
All tables set up with bib# boxes, Registration lists, t-shirts,
Athlete changes in distance need to be dealt with.
Changes need to be given to the timer to record in the system
Tarp put up across back of gazebo facing the lake to keep the wind off the volunteers
Race Day Registration Set up
All tables, bib # athlete list and t-shirts should be set up prior to 8 am start in the gazebo
When the athletes walk up they give their name and their distance
the volunteer crosses the name off the list, gives them their bi# with the chip on it
Then sends them over to the tshirt desk to pick up their tshirt
Course Marshals
Course marshals are out on course on race morning supervising the side roads and driveways that cross the Kawartha Trail
They are stopping any traffic and making sure there is n conflict with cars and runners.
Post Race Awards
The awards will be in the park south of the gazebo and will be going on during the morning for each event once the results are in.
1k, 5k, 10k
The podiums need to be set up speaker system set up, flags and banners set up
Tables setup next to podiums with all the awards laid out in order.
Awards Presentation
The awards need to be presented in a clean quick and professional manner.
They will be going throughout the morning beginning with the 1k then 5k then 10k
We will hand out the awards once the results are in.
call out the winners names and home town and time for each distance and category
Get them up on the podium for pictures and give them their awards
The award list will be printed and available race week so that there is a clear understanding of the flow and detail of what needs to be done
Post Race lunch
The post race lunch will begin at 11 am
The set up will be north east of the Gazebo
A series of six 6 ft tables to be setup and the food to be arranged in presentable manner.
A diagram map will be provided to show the set up plan
The food items are mini croissants, butter tarts, bananas, apples, yogurt, energy bars, water coffee, sports drink and hot apple cider.
The tables and the food displays must be monitored and supervised during the morning to make sure it all goes well.
Race Course set up
The race course needs cones put out on race morning along with assistance setting up the water table and water and sports drink mix put put out
Garbage cans set out at the aid stations
Everything needs to be taken down and put away after the race is over
Water Stations
The water stations at 2.5k, 5k, and 7/5k need to be set up on race morning
Tables setup water and sports drink put out, cups filled, garbage cans put out
When the runners go through hand them water or sports drink when they ask for it.
Keep the table full of cups until near the end
Clean up everything and return to where it all came from
Post Race Clean up
At about 12:30 pm everything at the race site needs to be taken down and put away
A lot of it goes back into the rental truck
Garbage needs to be cleaned up
Finish Line Support
As the runners cross the finish line they are given their finishers medal.
Keep the medals set out and ahead sitting on the table as the runners cross the line so they don't have to get their own medal.
Hold the finishers banner across the finish line to let the runners run through it
This is a big experience for runners to Break the tape.
Handed water, take off their bib Tag and put it in the red draw pot.
Provide assistance if needed for medical. Get them over to the EMS truck in the parking lot.
