Water Station
Volunteer Role: Water Station Crew
Overview:
Water station volunteers are a vital part of the race experience. They provide hydration, encouragement, and energy to participants along the course.
Arrive: 8:00 am - 11:00 am
Key Responsibilities:
Set-Up:
Arrive early to help set up tables, cups, water jugs, and sports drink (if provided).
Organize cups in neat rows so they are easy for runners to grab.
During the Race:
Fill and hand out cups of water/sports drink to runners as they pass.
Hold cups from the bottom so runners can easily grab them on the move.
Cheer and encourage participants—they appreciate the energy boost as much as the hydration.
Keep the area tidy by clearing fallen cups from the roadway and keeping pathways safe.
Safety & Support:
Be alert to participants who may need extra help (e.g., signs of distress).
Notify medical/first aid staff or course marshals if someone looks unwell.
Clean-Up:
After the last runner passes, help with teardown.
Collect used cups, bag garbage/recycling, and return supplies as directed.
High School Students:
Volunteer hours at the race count toward Ontario high school community service hours.
Students will receive confirmation of their hours from the volunteer coordinator at the end of their shift.
Qualities of a Great Water Station Volunteer:
Friendly, energetic, and encouraging.
Team-player who can work quickly under busy conditions.
Comfortable being outdoors and standing for a few hours. Dress for the weather!!

Barricades/Pylon & Course Marshals
Overview:
Barricade/pylon and Course Marshal volunteers are the eyes and ears of the event along the course. They help keep participants safe, ensure participants stay on course and provide encouragement to runners.
A minimum of two volunteers will be stationed at each location
Arrive: 8:00 am - 11:00 am
Key Responsibilities:
Pylon Management:
Set up and monitor pylon at designated intersections or restricted areas.
Ensure barricades/plyon remain in position and are not moved by spectators or vehicles.
Politely direct pedestrians and vehicles away from the race route.
Course Monitoring:
Stand at assigned locations along the course to guide runners and keep the route clear.
Cheer and encourage participants as they pass.
Provide directions to runners if needed (e.g., turns, staying on course).
Safety & Support:
Watch for participants who may need medical assistance or appear unwell; notify medical staff or the race director immediately.
Report any safety concerns (e.g., cars trying to enter, barricades knocked down, debris on course).
Clean-Up:
Assist with removing barricades and tidying the area once the race is finished and the all-clear is given.
High School Students:
This role is eligible for Ontario high school community service hours.
Students will receive signed confirmation of their hours from the volunteer coordinator.
Qualities of a Great Course Marshal:
Responsible and alert at all times.
Friendly and approachable with good communication skills.
Comfortable standing outdoors for a few hours.
Able to remain calm and confident when guiding the public.
Logistics Crew – Set Up & Teardown
Overview:
The Logistics Crew plays a critical role in preparing the race site and ensuring a smooth teardown after the event. This team sets the stage for a safe, organized, and welcoming experience for all participants, spectators, and first responders.
Arrive 7:00 am
Key Responsibilities:
Set-Up (Pre-Race):
Arrive early and assist with unloading supplies and equipment.
Set up tents, tables, chairs, signage, fencing, barricades, and water stations as directed.
Place directional signs and course markers along the route.
Assist with setting up the start/finish line area, including banners, sound system, and sponsor activations.
Ensure all areas (volunteer check-in, registration, recovery zone, etc.) are organized and ready before participants arrive.
During the Race:
Be available on standby for any last-minute logistical needs (moving equipment, replenishing supplies, etc.).
Respond quickly to requests from the Race Director or Logistics Lead.
Teardown (Post-Race):
Dismantle tents, tables, chairs, and barricades.
Remove course signage, fencing, and water stations.
Collect and load equipment and supplies into transport vehicles.
Assist with garbage/recycling clean-up and ensure the site is returned to its original condition.
High School Students:
Volunteer hours count toward Ontario high school community service hours.
Students will receive signed confirmation of their hours from the volunteer coordinator.
Qualities of a Great Logistics Volunteer:
Team player with a strong work ethic.
Comfortable with physical tasks such as lifting and carrying equipment.
Flexible, adaptable, and able to follow directions in a busy environment.
Positive attitude and willingness to help wherever needed.
Race Kit Pick-Up Crew
Overview:
Race Kit Pick-Up volunteers are the first point of contact for participants. They ensure runners receive their race kits quickly and efficiently while creating a welcoming, friendly experience that sets the tone for race day.
Arrive: 7:00 am - 11:00 am
Key Responsibilities:
Set-Up (Before Pick-Up Starts):
Help organize race kits (bib numbers, timing chips, t-shirts, swag items) by category (e.g., event distance, alphabetical order).
Set up tables, signage, and supplies in the pick-up area.
During Race Kit Pick-Up:
Greet participants warmly and check them in using the race roster system or printed lists.
Distribute race bibs, timing chips, t-shirts, and swag bags.
Answer participant questions about the race (start times, course, parking, bag check, etc.).
Direct participants to other stations (volunteer check-in, registration help desk, sponsors, etc.).
Maintain an organized table and restock supplies as needed.
Teardown (After Pick-Up Ends):
Pack away unused race kits, supplies, and signage.
Tidy and clear the area for the next activity or for race day.
High School Students:
Time spent volunteering at kit pick-up qualifies for Ontario high school community service hours.
Students will receive signed confirmation of their hours from the volunteer coordinator.
Qualities of a Great Race Kit Pick-Up Volunteer:
Friendly, welcoming, and helpful.
Organized and able to work efficiently under busy conditions.
Comfortable interacting with a variety of participants.
Positive attitude and willingness to solve problems or direct participants to the right person.
Registration Crew
Overview:
Registration volunteers are a key part of welcoming participants and setting the tone for a positive race experience. They help manage check-ins, process new registrations, and answer questions, ensuring runners are ready and excited for race day.
Arrive: 7:00 am - 11:00 am
Key Responsibilities:
Set-Up (Before Registration Opens):
Assist in setting up registration tables, signage, supplies (pens, forms, bibs, safety pins, etc.), and laptops/tablets if online check-in is used.
Organize registration materials (alphabetical lists, bib numbers, wristbands, waivers, etc.).
During Registration:
Greet participants with a friendly, welcoming attitude.
Verify pre-registered runners on the roster system or printed lists.
Distribute bibs
Process same-day registrations (collect fees, assign bibs, update system if applicable).
Answer participant questions or direct them to the correct station (kit pick-up, bag check, etc.).
Maintain orderly lines and keep the area running smoothly.
Teardown (After Registration Closes):
Pack up registration supplies and signage.
Organize remaining bibs and forms.
Ensure completed paperwork and cash boxes (if applicable) are returned to the race director or finance lead.
High School Students:
Volunteer hours count toward Ontario high school community service hours.
Students will receive signed confirmation of their hours from the volunteer coordinator.
Qualities of a Great Registration Volunteer:
Friendly, patient, and welcoming.
Comfortable handling paperwork, cash, or digital check-in systems.
Organized and able to work efficiently in a busy environment.
Good communicator who can answer common questions with confidence.
