Volunteer Roles
Set Up
- help staff set up athlete check-in
Athlete Check In
- you will be positioned in the lobby at the main entrance. You will greet, check in and confirm on the heat sheets the athlete’s arrival. You will also connect each participant with their Heat Leader.
Athlete Info Table
- after all athletes are checked in we will need someone to act as an info table for spectators and general public
Heat Leaders
- your main responsibility is to lead your group through the facility during their event. You are part camp counsellor, part triathlon expert/question answerer, and part tour guide.
- greet the athletes in your heat. You will be given a clipboard with a list of athletes in your heat. Each heat will have roughly 12 - 16 athletes.
- 15-20 minutes prior to the start of the heat, body mark your athletes with their race number on their LEFT arm and their RIGHT leg and ensure they are ready and excited!
- 10 minutes prior to the heat, direct your athletes to the change room and have them store anything not needed for the event in their locker. Meet them on the pool deck. Ensure they have goggles, and a towel. Optional items are swim cap and shoes or flip flops for moving about the facility for the swim event.
- 5 minutes before the event, direct them onto the pool deck to be organized into their lanes.
- CRITICAL – It is of utmost importance you are militant in keeping your athletes to the following schedule:
· 10 minutes swim
· 10 minutes transition from pool through change room and up to the spin room
· 20 minutes bike
· 5 minutes transition from spin room to the track
· 15 minutes run.
Any delay creates back-ups in the heats that follow yours.
- once the swim has started, communicate with the Swim Marshal who will organize them into lanes.
- after the swim is over, ensure all athletes in your heat get to the locker room for transition. When all athletes are ready, then lead them to the Spin Room.
- communicate with the Bike Marshal about timing for the bike start. Walk around and make sure everyone is OK.
- once the bike is complete, lead your group to the track. Again, you’ll have your check in sheet to ensure you have everyone in your heat and no one gets left behind.
- communicate with Run Marshal as to when the run will begin and end.
- after the run is complete, lead your athletes to Jugo Juice. Each athlete will receive a Jugo Juice.
- participants will need to have their race bibs to receive their finisher item and smoothie.
- after your group has their smoothie and collected their finisher item please take a group picture of you and your team – these will not be emailed out so please air drop this and any photos you have/they want
- direct athletes to the Massage Tables where athletes can have a free 10-minute massage.
- say goodbye to your athletes and please know that we are so very grateful for you helping with these athletes on this special day1
Swim Marshal
- line up each heat and determine who will be in which lane together, based on projected distance/time
- direct athletes to their respective lanes with 2 racers starting at each end of the lane.
- as per the schedule, start and stop the swim
- athletes will track their own distance if they wish (ie. there are no lap counters)
Bike Marshal
- help athletes get on their bikes and get them properly set up to ride (ie. seat height)
- staff will be in charge of timing and leading the group through a ride but you are there to also encourage and see that everyone has what they need
Run Marshal
- communicate with Heat Leader and officiate the 15 minutes on the track
- ensure athletes stick to our assigned lanes as there may be other facility users on the track at the same time
- once the run is complete assist the Heat Leader in safely escorting athletes from the track
Finisher Medals and Smoothies
- greet heats as they arrive back to the lobby
- hand out finisher item
- lead group to smoothies and hand out smoothies to each athlete
- take group photos for athletes with their cameras
