COVID-19 Race Procedures
Pre-Race
Communicating with all Participants
Leading up to the race we will be in regular contact with all registered participants via email and social media to keep everyone informed of packet pick-up and race day safety precautions that will be in place. Multiple emails will go out starting three days before the race to notify all participants that if they are experiencing any COVID-19 symptoms to notify Southern Timing immediately and they will be moved into the virtual race free of charge.
People with COVID-19 have had a wide range of symptoms reported – ranging from mild symptoms to severe illness. Symptoms may appear 2-14 days after exposure to the virus. People with these symptoms may have COVID-19:
- Fever or chills
- Cough
- Shortness of breath or difficulty breathing
- Fatigue
- Muscle or body aches
- Headache
- New loss of taste or smell
- Sore throat
- Congestion or runny nose
- Nausea or vomiting
- Diarrhea
Packet Pick-Up
We will hold a packet pick-up the day before the race so that participants can come and pick up their shirt, bib, and other race materials. This will alleviate the amount of people waiting in line on race morning to pick up their packets.
Safety precautions at packet pick-up will include:
- Masks required for all staff and participants while waiting in line and picking up race packets.
- Physical distancing signs and markers placed on the ground and around the packet pick-up area.
- Temperature checks for all Southern Timing Staff before packet pick-up begins.
Race Day
Staff & Volunteers
All staff and volunteers will go through training on the new race procedures to ensure there is no confusion anywhere within the event so that the safety of everyone involved remains intact.
- All staff and volunteers are required to wear CDC approved face masks at all times before, during and after the event.
- All staff and volunteers will maintain physical distancing between themselves, as well as participants to ensure the safety of everyone.
- All staff and volunteers will be subjected to temperature screenings before and during the event and will be required to stay home if they have been sick in the 2 weeks prior to the event.
Participants
We will be communicating with participants on a regular basis, and throughout the registration process to ensure that the new race guidelines are heard and understood.
- Participants are required to wear masks while waiting in line for race day packet pick-up, and in the packet pick-up and registration areas. Participants are encouraged to wear masks when it is not possible to remain 6 feet apart from others.
- All participants will be subject to a temperature screening before being allowed to register or pick up their race packet. Any participants who have a temperature above 100.4 will not receive a race bib and will be asked to leave the event. These participants will be given their race shirt and medal before they are asked to leave.
- Participants who are not following proper physical distancing and ignoring race officials’ directions will be asked to leave the event.
Race Venue – Northeast Regional Park
There will be signage placed around the park and multiple physical distancing markers placed to encourage physical distancing especially in high trafficked areas. Examples of physical distancing signage and placements include:
- Physical distancing signs placed at registration and results areas
- Physical distancing signs placed at start and finish lines
- Physical distancing markers will be placed on the ground to keep participants separated while waiting in line for registration or results.
- There will be 50 physical distancing markers placed on the ground at the start line for participants to line up and wait for the rolling start.
Race Day Packet Pick-Up & Registration
Race day packet pick-up will take place the same as previous packet pick-ups, participants will be required to wear masks or face covers while picking up their race packets. Once the packet has been picked up participants are asked to either wait at their cars or throughout the park until the start of the race.
We will be taking registrations on the day of the race through our contactless kiosk system. Participants will enter all their information on our registration kiosks and will be allowed to pay vie credit card or contactless payment through our card readers attached to the kiosks. Each kiosk and card reader will be wiped clean after each use. There will be hand sanitizing stations at the entrance and exit of registration.
Start Line
The race will start in rolling waves of 50 participants. This will take place until all participants have started the race. Waves will be decided by bib number, in increments of 50. There will be an announcer at the start line calling the waves and starts for each wave. All participants will receive a chip time starting when they cross the finish line. This race will be scored by chip time to ensure fairness across all waves.
The start line will be set up as follows:
- 50 markers will be placed on the ground at the starting line for participants to stand on while waiting to start.
- The announcer will start each wave, participants will start in waves of 50 while staying 6 feet apart from each other. Once the first wave is done the second wave will line up and start.
- Waves will be assigned by bib, starting with 1-50. Bibs are assigned at packet pick-up.
Finish Line
The finish line will be separate from the start line to allow for a longer start. The finish line will be set up as follows:
- There will be barriers set up to keep spectators away from the finish line so that participants can physically distance after they have crossed the finish line.
- There will be tables set-up with water bottles and medals so that runners can take a water bottle and medal without encountering any staff or volunteers.
- Once finished participants will be asked to leave the finish area and maintain physical distancing until they leave.

- There will also be multiple signs at the finish line and around race areas with QR codes that will redirect participants to the results page.
- There will be multiple contactless results kiosks for participants to check their times and results. These kiosks will be cleaned after each use.
Racecourse
The racecourse will remain the same with changes being made only at water stops.
- There will be two water stations along the course, one at mile 1 and one at mile 2.
- There will be no volunteers at the water stations instead there will be water bottles set across tables for participants to grab as they go by the water station.
- Participants are also encouraged to bring their own water for the run.
Post-Race
Post-Race Ceremonies
Awards will be presented virtually via Facebook Live
- There will be no onsite award ceremony, this will eliminate runners congregating around the check-in, race operations area. Instead, runners will go home, and the awards ceremony will take place after the completion of the race virtually via Facebook Live.
- Runners who placed in the race will have their awards mailed to them following the completion of the race.
